Directory Information Code – Kelley had sent an email to team members explaining the need for a DIRECTORY.CODE for students who do not want their directory information released to anyone, including the National Clearinghouse. After email communication, the suggested code is NR No release of directory information. This element is on the BIO screen in the ‘Dirctry’ field and is different than ‘Privacy’. Very few students request nondisclosure of directory information (set by the Board, outlined on MCC’s website and in the catalog); a form must be completed each semester. Jean had benchmarked with other institutions and this is how they handled the directory situation.

Future of CORE – Kelley announced that the original Future Information Transition (FIT) teams had been disbanded; whose functions were to work through implementation, which is pretty much complete. Degree Audit is really the only module left to execute. There is a meeting this week of the FIT Team Leads and others to decide the future for Colleague user groups, etc., including the existence of the CORE Team. There was discussion and most felt that it would be most beneficial to keep CORE intact, due to overall background knowledge and protocols. Team members were asked to think about their participation and continuation in CORE.
Kelley indicated staff training continues to be an issue, especially for faculty, which the new ‘users group’ may be able to address. Kathy said she and Diane Krasnewich (Change Management) have developed instructions by screen mnemonic under the auspices of the SAM Team. More than 180 training documents have been completed and are ready for final formatting and review. Kathy and Diane would like to see these accessible to all MCC employees on a common drive. Kathy suggested that Kelley bring this up at the meeting this week, and will send her a list and samples.
Note: CORE will continue to meet monthly (third Tuesday of month) until further notice.

Colleague “master” calendar considerations: data entry responsibility, calendar type (academic year, fiscal year, continuous), naming convention, MCC’s academic calendar and contractual commitments; primarily relating to business days and student billing.
12-4-07 Kelley will bring to IOC to determine responsibility; generally involving Academic Affairs and Financial Services (out of CORE’s responsibility).

Person/Address Mail Codes
|
On ADR Person Addresses screen and use MAIL. RULES Val codes, like: NM No Mail, BA Bad Address, NS No Solicitation, NW No Work Calls, GR Students Grade Report, ST Students Statement The person code follows the person (as student, employee, etc.); address code follows the address (like No Mail at work address).
Jean Roberts had benchmarked this item and most use this field in some way, such as: blocking registration if Bad Address, mark bad address as Last Known, set “No Mail” flag. However, these bad addresses (unknown, etc.) will be included in mailings/labels unless a rule is written to exclude them.
9/25 Kelley will follow up with Joan Jolman re: rules
