Student Services: Student Academic Management: Jean inquired about the codes sent out via email to the IOC. There was no concerns therefore Kelli will email them out for information to the President’s Cabinet via email with a response deadline of noon on Wed., 4/25/07. Jean asked Patricia to please move the nursing and RT rules from test to Live in order to build courses and sections. There are more rules to create but Jean has to get with Rosemary about them. The Team continues to work on tweaking and equating courses.   The SAM Team is working hard and many hours. Fall 2006 and Winter 2007 credit hours have been entered. Students that haven’t attended in the last five years will have to reapply.

Admissions:  George reported that the Team inputted student worker alternative ids on Monday night. Still going around with Active Apply, they are not following through at their end. Patricia mentioned that they had a change in staff.

Financial Aid:   Bruce said the Team is working very hard on moving towards Live. There was issues with birthdates in Legacy did not matching the birthdates on the ISERS for various reasons. The ISERS birthdates is cross referenced with social security, so that is the correct birthdates as the government is concerned. They decided not to overwrite the birthdates due to there would be no records and just change them in new system, with the ISERS being the record of proof in the new system Colleague. With Colleague there will be communication with department of education and lenders therefore the birthdates in Colleague need to be the correct one.   Another issue was some new students not having residency codes. George is working on it. Teresa inquired if Bruce and the Team felt more comfortable with the process. Bruce answered sure. Another problem was programs coming over as inactive. Undecided was been added as a program so financial aid now is able to do what they are required to do.   Letters will be going out Monday.   Discussion of data entry accuracy was discussed and possible awarding accuracy.

Other Issues: Prospect cards are used to enter into the system by date of birth; however Jean informed that there are many without the date of birth, like all of the “Taste of Tomorrow” prospect cards.

Motion to add code DR-Duplicate Record to PRIVACY.CODES be approved for recommendation for President’s Cabinet for approval as presented:
Kelley explained that this code denies access to specific records unless the user is authorized to view those records, via a matching code on the SVM screen. Discussion ensued on how powerful this code is, FERPA, Soloman Law, etc. It is very important to be extremely careful using this code.
