- Jean asked Chris Nowak to be scribe for the Team Lead meetings. Chris graciously agreed to accept the responsibility and Brenda Mitcheltree agreed to be backup when Chris is unavailable.
- Trip Report – you will receive a Trip Report from your trainer after consulting, not after training as first thought. Jean advised leads to meet with your trainer before training is over to be clear on your next steps.
- Jean is seeking clarification regarding contacting our trainers. Some trainers have told leads they may contact them any time, while other trainers wanted everyone to be aware that they may charge for extra contact. Please have all team questions go through the team lead so trainer is only receiving 1 email.
- Stakeholders – Invite reference people to your meeting. This system is so integrated that we must talk with other teams and departments. Jean will try to attend meetings.
- The Student Academic Management Team (SAM ) will confer with Lois Smith of Accounts Receivable (AR) regarding what to enter for billing courses, sections and contact hours.
- The Admission Implementation Team is working on Admit Status. On the SHAP (Short Application screen) the Admit Status is used to define the original designation you assign to individuals when they begin the admissions process at MCC. This code is entered for each application an individual submits.

HS – High School Student
RT – Returning Student
TR – Transfer Student
- Issues Log: Bring to Jean’s attention as soon as possible. You don’t have to wait until Monday’s meetings if “urgent” As lead for STUDENT Module Jean needs to know what is going on.
- Mapping: Several dates are under consideration. Possible dates are May 5, 8, 9 or 10th. Roemary Zink is working out the details.

Should applicant be moved to student immediately from Admissions. Is testing or meeting with Janice Alexander an Admissions issue or a Registration issue. If we move to student immediately there can be rules that must be met before a student could register, such as placement testing, MEAP scores, or score of 22 on ACT.
Bruce would like to PUSH to student. Get a student number immediately. The sooner the better.
Following discussion, Jean asked Bruce to benchmark with other Colleague schools. How does this affect Financial Aid? Must be degree seeking students?
- “Getting Started with Student” Jean has printed all of the text from the G: drive. The book is in her office, everyone is welcome to use it.
- Valcodes and Codefiles: Jean is seeking clarification regarding the entering of the Valcodes and Codefiles. Is the team entering the codes or is the IT department? She will meet with the Implementation Oversight Committee.
- Communication codes: Brenda offered a brief explanation of what the Communication codes are. She explained that each department will own their codes. By using the codes you can trigger an automatic response to a student who applies for financial aid or sent a transcript in for evaluation. The Admission Implementation Team (AIT) will work more with Communication Codes in July, however, Brenda gave an example:

First 2 letters are the department that own the code
(FA = Financial Aid)
Third letter is the trigger code: will generate a response.

- Jean told the members that each team lead will give $200.00 to use at their discretion. You may have coffee at each meeting or have treats for the team as they complete their tasks.
