Minutes
September 20, 2006, Meeting
 
 
Present: Mary Smith (Team Lead), Lori Haggerty, Aaron Hilliard, Jody Kuhn, and Donna Warner and Rosemary Zink.
 
Absent: Dee Crews, Beda Dubois and Joan Jolman.
 
Meeting began at 8:35 a.m.
 
Agenda: Team received AGENDA via email. A copy is attached to these minutes.
 
1.         Approval of 9/6/2006 and 9/13/2006, HR Team Minutes. Rosemary inquired about the room scheduling for HR PAYROLL/LIVE PARALLEL on October 24 and 25 and the need for accessibility to records if needed. After discussion, decision was made to remain in Room 1300. Rosemary moved, Lori seconded, to accept the minutes. All agreed. Minutes then approved as presented.
 
2.         Val Code/Code Files: Rosemary, Beda and Mary met to complete the Coding. Mary distributed copies of the undated HR CODE FILES and HR VALCODE TABLES. Copies attached to these minutes. These CODES
need to be in the system before all other entries are made in LIVE.  After going through both CODE sheets and noting changes, Mary asked Team to further look over the CODES and to report any recommendations at the Monday evening meeting. Question was raised as to whether CODES could be listed alphabetically in the pull-down menus. An alphabetical listing would be very helpful when doing the entries.
 
3.         Position Tree Update: Aaron presented the new format and the names, positions and departments that have been entered to date. Discussion pursued on the use of a same position title for two or more employees. Academic Affairs and Student Services need to be completed. Rosemary said that “Report To” does not need to be entered at this time. Aaron will have the position tree completed by Monday, September 25th. The time for this information to be completed is crucial to the payroll implementation.
 
4.         Other Issues: Mary, Donna and Lori met Monday evening, September 18th. They were able to balance on all numbers. Team was cheered for their success!
 
5.         What’s Next?: 
 
-          Finalize CODES by Monday, September 25, 2006.
-          Look at all positions.
-          All entries in by October 24.
-          Phone consulting is scheduled for Wednesday, September 27. (Changed from September 22 date)
-          Decision to be made on # of pays.
-          Complete 7/27/2006 payroll run.
-          Celebrate payroll balance – breakfast next week.
 
Team continued working on the 7/27/2006 payroll run by following the Payroll Processing Steps.
 
Next meeting date: September 27, 2006, in Room 1300 from 8:15 a.m. to Noon. Breakfast will be at 8:15 a.m. with phone consulting 9:00 a.m. to 11:00 a.m.
 
Meeting adjourned at 12:00noon.
