April 20, 2006, Meeting
 
 
Present: Mary Smith (Team Lead), Beda Dubois, Lori Haggerty, Aaron Hilliard, Joan Jolman, Jody Kuhn, Donna Warner, and Rosemary Zink.
 
Absent: Dee Crews
 
Meeting began at 1:07 p.m.
 
1.         Review of 4/12/2006, HR Team Minutes. One correction was noted: Minutes should read that Aaron was going to check on evaluation cycles, not hiring cycles. Beda moved, Rosemary seconded, to approve minutes. Minutes then approved as presented.
 
Mary distributed copies of the Agenda. A copy is attached to these minutes.
 
2.         HR Consulting: Peggy Burns will be here April 25,26, and 27 for training. On the Trip Report: HR Training Engagement Report, Mary noted that in item #5 POSITIONS: 1) Hire date of the employee that has been at the college the longest and 2) Define hire date we will use. The oldest hire date is 5/12/1965, so we will go with 1/1/1965.
 
Rosemary suggested all information should be done on a spreadsheet form – all 300 + input should line up with screen format. Go with January 1, 1965, starting date on all entries.
 
 
3.         Engagement Report Review: Discussion held.
 
4.         Tasks/Assignments:
            Donna brought list of employees.
            Beda brought list of students.
Donna and Lori will do spreadsheets: 1) Students and 2) Regular Employees.
 
5.         VAL Codes and CODE Files: Mary said she made one change and asked for discussion on this change.
Moved Sabbatical from LEAVE.TYPES to HR. STATUSES which was the place where it was located in the Manual.
            Discussed terms in HR.STATUSES
            Delete the term “employee” under HR.STATUSES in sample HR VALCODE TABLES. Mary will redo later.
 
6.         Benefits and Deductions:
On these, we need to cover all the benefits that are used. Rosemary suggested devising a spreadsheet for these and then use the information to assist in entry into test system.
 
7.         Sample Group: Discussion held.
 
8.         Positions: Discussion pursued on the following:
Student Workers and Student Assistants: how to report and whether to designate as two entries.
Temp FT – discussed term and function.
Temp PT – discussed term and function.
Prepare Action List for Peggy Burns on Full-Time and Part-Time and how to list.
Need to describe positions, clarify and/or make changes.
 
 
Need more work on HR STATUSES & POSITION.TYPES.
Aaron will check on coaches.
Mary will setup CODES according to screen form.
 
Mary and Aaron presented a sample Faculty Position Codes chart and distributed to team. Copy attached to these minutes. They worked from the following sample designations and sample codes:

After a lengthy discussion on the sample chart and coding, the following decisions were made:
            Talk to Peggy about these terms.
Mary will contact MontcalmCommunity College and any other college using this system and get their CODE LIST for sample guidelines.
 
CODE FILES were not discussed.
 
Meeting adjourned at 3:30 p.m.
 
HR Consulting/Test Parallel is April 25, 26, 27, 2006, in Room 1300.
 
Next meeting date is Wednesday, May 3, 2006 at 10:00 a.m. to 12;00 noon in Caesar Lounge.
