REVISE PROTOCOL Recommendations for:

-Adding/Changing Data

-Return Mail

-Deceased Individuals
The President’s Cabinet had the following questions and suggestions:

MCC Faculty and Staff name changes #3 – Is submission “by mail or fax” acceptable? This is not an option for #2 MCC student employees. Delete these options from #3 to match #2.

Dr. Rule would like the USPS forwarding address recorded somewhere in Colleague. Various placement possibilities were discussed
(former or mailing) and benchmarking results on this element were reviewed. Kelley will talk to Perry and further research this issue.

Bill Loxterman has mail returned marked “Deceased”; many times this is for MCC Alumni. How can this be recorded in Colleague?  CORE suggests “unconfirmed death” and/or “no mail” coding.

Kelley will research and revise above as discussed. Final recommendations will be sent to CORE Team members for their approval via email; she will then submit the revisions to IOC.

ORGANIZATION DATA gathering - Update
Kelley sent an email to “All” requesting information for any organizations that staff and departments may have affiliation. There has been good response, even some immediate responses. Kelley will bring this info to next week’s meeting. Stacey asked Kelley if she needed a list of her (many!) contacts in EMS. Kelley would like a list for review, which may be more complicated and involve greater global usage. A parallel protocol may be needed.

Peggy will review for Financial Aid purposes and let Kelley know about any discrepancies.

FACILITIES UPDATE:

- LOCATIONS

-Off Campus ROOMS

Most buildings and rooms have been defined and entered in Test. Stacey continues to update this information.

Codes have not been decided; Perry suggested entering cities here, but Carol Hogan said this element generally designates “Main Campus”, “Off Campus” and “Remote” sites. Note: Off Campus schedules are “controlled” by MCC, Remote are not and follow that site’s schedule (i.e. weather closures, etc.)
After discussion, the following codes were approved for testing:

MCC MCC Main Campus
OFF   Off Campus

Rooms are required for every building assigned to course sections. Some sites do not have separate rooms or the rooms are always subject to change and posted on-site when the class starts (i.e. high schools). It’s recommended that TBP To Be Posted be added for the appropriate off campus locations.

Five courses held in Off Campus “Buildings” needed rooms assigned to them. Kelley, Stacey and Kathy met to research and discuss these.
Upon contacting the HPER Office, class meetings for the following courses were clarified:

Open

PEA 156 Beach Volleyball and PEA 108
Bowling – the first class meeting is in the Gym. It was suggested that the actual Locations of Pere Marquette Park (PMP) and Northway Lanes (NWL) be listed for these course sections with a room of “GYM” which is acceptable in Colleague. Kathy suggested a note could be added to the course section indicating the first meeting is in the MCC Gym, then at the off campus location thereafter.

Codes and descriptions recommended for the other locations, where all class sessions are held:
Room = SS   SkiSchool- Cannonsburg Ski Area (CSA), PEA 119 Alpine Skiing
Room = NW Northway - Northway Lanes (NWL), PEA 105 Billiards
Room = GC  Golf Course - University Park Golf Course (UPGC), PEA 115/214 Golf
