AGENDA ITEMS
 
1. Valcodes and Code Files:
 
Please see “Curriculum Management Code File and Valcode Table” sheets for specific group assignments. Since there will not be a meeting next week, send your completed recommendations to Lynne by Thursday, April 6. She will compile the info for review during our April 11-12 consulting sessions.
 
2. Benchmarking: Jean asked that all benchmarking results be forwarded to Darlene by April 6.
 
3. Web Training: Julie Weller will be contacting Kathy for web training (to post minutes on site).
 
4. Institutional Hierarchy
 
The hierarchy was approved by the IOC, and will be presented to the Cabinet for final approval as soon as possible. We are on a “fast track” for SAM training and the hierarchy will be entered so we can proceed.
 
5. Agenda, Forms, Minutes, Format:
 
Datatel has provided specific agenda and meeting minute formats for use by all FIT teams. Jean explained their use and noted that using these forms is optional by team preference. The most important elements in this format are “Action Items” and “Issue Log”. Kathy said it didn’t matter to her and she would be glad to use whatever Jean and the entire team preferred. She will get a template of the forms and review them for future use. Using the Datatel forms also facilitates consistency, accurate follow-up, cut-and-paste capabilities, and efficient record keeping.
 
6. Datatel Documentation:
 
Jean announced that Perry has downloaded very helpful Colleague reference material to the common drive (G), labeled “Datatel Documentation” under “Student Applications”. There is a Table of Contents and more descriptive searches are possible. Information from this file can be printed, be careful however, to print by the page as some files are quite large (300-1000 pages).

3. Review Catalog for Complex Prereqs: Terri, Bea and Darlene are working on this project. There was discussion regarding the definition of “complex” prereqs (i.e. Ready to Succeed, testing levels, etc.). Judy offered to work with this group, especially if they had questions about pre-  and co-reqs. It was decided to list any questionable requisites, as the team will review them as we proceed with consulting.
 
4. Determine Delimiter: It was the consensus of the group to use the “dash” (-) as the course delimiter.

5. Process Flow Chart: Jean has begun this process along with mapping in her department. She also  explained the difference between “flow charts” and “mapping”. Mapping covers a process that is passed on to another office/department for their processing. A flow chart documents how a  certain process is done – in detail. Jean asked Cindy to write down the current CE registration             process from beginning to end. Since much of it is done by Registration personnel, Terri will work with Cindy. There was discussion regarding: web, mail-in, in person and telephone reg,  and collection of identifiable info (i.e. date of birth, social security number) for CE registrants. Chris explained the “short application” needs from recent admissions training.
 

Jean reminded all members to “think outside the box” when completing assignments. Due to her absence, there will not be a SAM team meeting next week. We will meet next for our CU/FI/REG Consulting sessions on Tuesday-Wednesday, April 11-12.
