Student Academic Management (SAM) Team
Meets every Friday 10:30-11:30 a.m.

3. Two-Hour Consulting:
Jean anounced that Mike Brubaker, Lead Consultant (Student Applications), will be available for a two-hour remote consulting session on Friday, March 24 from 10:30am-12:30pm. She asked that any questions for him be forwarded to her by Friday, March 17.
4. Conversion Consulting:
Vilene asked Jean what the difference was between “training” and “consulting”. Jean explained that training is learning to use the Colleague applications and consulting is asking questions regarding how we will use the system and the decisions required to facilitate our processes.
Cindy asked Jean if there was as agenda for the April 11-12 consulting session because she has some important events scheduled and may not be able to attend the entire session. Jean will check with Mike on an agenda and let her know when it’s most important for her to be there.
Pat indicated to Jean that she and Joan would be willing to go through the Student Academic Management Workbooks with this team if additional training is desired. In light of the last minute substitution of our trainer, our session wasn’t very well organized or productive. Jean thanked Pat and isn’t sure if there is time to get the entire team together again for more training. Several small groups of team members have scheduled training times. Pat encouraged anyone with questions or concerns during practice to call her or Joan. They will be happy to assist in any way possible.
There was discussion about dividing this group up for training since some of the areas are more specialized and will not be utilized by all members. Jean will ask Mike Brubaker if it is possible, and more advantageous, to separate participants by office responsibilities (i.e.: records, transcripts, curriculum, faculty, etc.).
5. Business Process Analysis Mapping:
Christine Ryan from Datatel has been on campus demonstrating business process mapping to FIT Team leads. Jean noted that this has been very interesting and helpful.
6. Decision Workbook Checklist: Jean distributed copies of a two-page “Checklist to Accomplish” from the Student System Decision Workbook. It was noted that some of the items listed were decided in CORE. The question was raised whether the checklist was in priority order.
7. Trip Report/Certificates: Jean asked if any members had not yet received a copy of Mary Hanson’s trip report and a certificate of completion. She has corrected the original roster that omitted several team members, so they should be getting this material soon. Please contact her if it is not received.
ACTION ITEM FROM PRIOR MEETING
1. DeltaCollege Visit: Kathy distributed a printed summary of the notes submitted by all SAM Team members who visited the Delta campus last week.
OTHER ANNOUNCEMENTS:
- Jean referred to the “Next Steps” listed on the Datatel Trip Report for Student Academic Records & Registration Consulting: parking lot issue (remedial credits), Phys Ed requirements, GPA (re: repeat classes), review screens and practice, keep documentation of decisions, document workflows and compare current process, review timeline, review and input other information, and complete Workbook Exercises as noted.
- Visio will be used to map business processes. Jean would like each area (i.e.: Academic Affairs, degree audit, registration, etc.) to identify their top three processes before the April consulting session.
- Jean will be meeting with Kam to identify a facilitator for completing process mapping.
- Several SAM Team members have scheduled practice times in room 1300. Chris has sent this to all members so they can join the practice if space and time allows.
- Due to the increased use of room 1300 for training and on-going consulting, Jean is trying to make arrangements to have additional Datatel training stations available elsewhere. She will also investigate the option of adding the Datatel accounts to certain desktops if necessary. Whenever possible, participants should get away from their desk to practice, but she realizes this is getting more difficult as deadlines are becoming an issue. She will keep all members posted.
Assignments and Next Steps:
Ø Jean asked that members read the training manuals and develop benchmarking questions along the way. She was able to form some questions from her review, and distributed a copy to all members.
Ø Schedule practice time! Complete the exercises listed on the assignment sheet distributed at the end of the training session.
Ø Benchmarking questions: As you navigate and populate the system, make notes of areas where questions arise and benchmarking with other colleges would be helpful. Jean distributed a list of Michigan Community College Registrars for use in contacting other offices.
