Student Academic Management (SAM) Team

Minutes

Cindy Panici made a motion to approve the January 20, 2006 minutes as presented. Judy Eistedt supported and the motion passed.

Reminder: No meeting on April 7, 2006

SAM Training Agenda

Jean noted that the agenda for our Colleague training next week was e-mailed with today’s agenda. The training is in room 1300, next Tuesday-Thursday (Feb. 21-23) from 8:30 a.m. to 4:30 p.m. Cindy reminded everyone that there is a “Wellness” lunch on Wed., Feb. 22.

Distribute Training Manuals:

Jean distributed three training notebooks to each team member. She noted that she combined the Using Registration and Academic Records and Registration Supplemental Materials into one notebook. Using Academic Records and Curriculum Management/Faculty Information Learning Guide are the two other training books provided. This material may be combined or divided according to each team member’s preference. Jean noted that all of this information will be covered in next week’s training. She also went over the training agenda.

Other:

Jean mentioned that she has developed a college-wide FERPA guide that is getting final review and approval. When this is ready, she will distribute a copy to all.

Further discussion regarding training included: Kathy’s explanation of Colleague’s single database for all users thereby facilitating up-to-date responses to customers, an end to “shadow systems”, clear-cut predefined user responsibilities, and a consistent track for process decisions.

Jean noted that MCC will probably be transitioning from telephone registration to web, etc., eventually eliminating telephone reg all together. During initial implementation, web reg is not used so the “bugs” can be worked out.

After our training session, practice time can be scheduled in room 1300 to become more proficient and familiar with system applications. Training can be scheduled with College Services and other groups have found it beneficial to practice together; that way problems can be discussed and explored at the same time.

If members need extra time (overtime) to get in practice and finish any “homework” assigned by the Colleague trainers, contact Jean and your supervisor. There is a separate budget to accommodate this, and Jean will work with your supervisor on this issue.

This will be intense and a lot of work, but at the same time very exciting and appreciated as MCC’s administrative technology moves forward.
