January 13, 2006 Student Academic Management (SAM) Team
Introduction of Team Members: Jean Roberts (Team Leader), Judy Eistedt, Bea Halvorson, Terri Jourden, Kathy Krentz, Chris Nowak, Cindy Panici, Darlene Peklar, Vilene Rodgers, Pat Werly, Lynne Wood
Recorder: Kathy Krentz volunteered to take minutes, with Judy Eistedt as back-up.
Determine Meeting Schedule: It was the consensus that this day and time would work for everyone (every Friday 10:30 – 11:30 a.m.). However, there won’t be a meeting on February 10 due to a Student Services retreat.
Master Calendar: The FIT timeline and a master “training” calendar will be posted on our FIT website soon. All training dates (through December) and committee meeting schedules will be included for everyone’s reference.
Duplicate Records: There are at least 287 of them (based on one data comparison). Records Office staff is working to clean these up. The Records and Registration staff is also considering data media concerns (microfiche printer is broken). The SAM team will soon be reviewing TIP Curriculum Codes.
Policies: Jean outlined the process concerning “Withdrawal Repeat” (WR) grades that is currently being investigated. A policy is being developed to eliminate any WR (or any grade changes) for courses taken prior to the completion of a degree/certificate. Each member is encouraged to review any policies/procedures in their areas.
Announcements: FEELING LOST? Everyone acknowledged that this will be a very time consuming, challenging endeavor. Pat encouraged anyone who is feeling completely overwhelmed or “lost” to seek counseling through Child and Family Services (through HR). She knows it has helped some OIT staff members and highly recommends the service.
NEED HELP? Lynne Wood asked about extra help during the busy times and Jean assured her that overtime and/or temp help will be provided. The FIT budget includes funds for that purpose. Jean said her office may be working overtime some Saturday mornings to review/transfer data, as well as hiring temps to perform basic receptionist/phone duties. This must be pursued with your supervisor and also communicated to your team leader.
TRAINING MATERIALS? Cindy Panici asked if we will be receiving the training materials before the session for review prior to training. Jean said the material should precede the session. Pat noted that the first training session is usually an overview, and the next “consulting” visit is more hands-on. Kathy and Beda agreed that getting the material early isn’t really necessary.
ATTITUDE! Jean noted that keeping a positive attitude is very important and will ease the transition. We must all share our knowledge, communicate and remember that this change is for the better. She suggested we come up with a slogan, and that money is available for promotions (possibly shirts for all). Lynne indicated that many people associate security with the “status quo”, however, change will actually enhance security.
